TITLE: OFFICE TECHNICIAN II
DEPARTMENT: School or Department
QUALIFICATIONS:
- Possess a high school diploma or equivalent.
- Possess or have the ability to obtain a valid Arizona Identity Verified Prints (IVP) Fingerprint Clearance Card within forty-five (45) days of employment.
- Four years of advanced clerical experience in a school district environment is preferred.
- Any combination equivalent to training and experience that could likely provide the required knowledge, skills and abilities.
JOB GOALS:
The Office Technician II performs a variety of advanced clerical type work in a designated area within the school or department.
PERFORMANCE RESPONSIBILITIES:
The following tasks are essential for this position. This list is not inclusive of all responsibilities. Individuals may not perform all of these tasks, or may perform similar related tasks not listed.
- Complies with all HIPAA and FERPA related confidentiality requirements.
- Develops positive relations with students, parents, school staff and the public.
- Performs all typing and word processing duties as assigned.
- Assists the Principal by performing a variety of clerical/administrative duties to ensure the smooth and efficient operation of the Principal’s office.
- Places and receives telephone calls.
- Maintains a schedule of appointments and makes arrangements for conferences and interviews.
- Orders, distributes and inventories teacher and office supplies.
- Prepares teachers’ and other handbooks.
- Assists with tracking certified and classified evaluations for completion and ensuring that evaluations are submitted to Human Resources by the appropriate deadline.
- Responsible for exiting employee records, check-out and retrieval of school keys, ID badges and other district property.
- Maintains a regular filing system.
- Prepares daily, weekly and monthly reports and bulletins.
- Processes absences for classified and certified employees.
- Responsible for the scheduling and preparation of substitute teachers - assigning room key, and covering regular procedures, i.e., attendance, etc.
- Responsible for the safe handling and the deposit of cash in a timely manner.
- Attends meetings, takes minutes, types and distributes material.
- Assists the Director of Business Services and Accounting Coordinator with quarterly and end of the year reports, retirement and other business operational functions as requested.
- Assists with inventory of district equipment.
- Prepares all billing of services for the district and tracks the receipt of such funds.
- Assists in the preparation of construction bids.
- Receives and forwards personnel applications to the Human Resources dept.
- Responsible for entering purchase requisitions into district accounting software.
- Performs other related duties as assigned.
MINIMUM KNOWLEDGE, SKILL AND ABILITY:
Knowledge of:
- District policies, operations and organization.
- Interpersonal skills including tact, courtesy, and diplomacy.
- Communication (telephone, email, etc.) etiquette.
- Modern office equipment including personal computers and related software.
- Office environment procedures and practices.
- English language, spelling and grammar.
- High level of understanding of the Uniform System of Financial Records (USFR) for Arizona School Districts.
- Thorough understanding of Google Workspace software.
Skill and Ability to:
- Work cooperatively with others.
- Establish work priorities to meet schedules and timelines.
- Maintain files, records and reports.
- Operate modern office equipment including personal computers and related software and phone systems at the highest level.
- Create, analyze, and maintain complex spreadsheets.
- Maintain a calendar of appointments.
- Type a minimum of 50 WPM.
- Process administrative details using independent judgment.

EVALUATION:
Performance of this job will be evaluated annually by the Principal, Assistant Principal, Director or Superintendent in accordance with the provisions of Governing Board policy for evaluation of classified personnel.
