Job Summary

The Department of Neuroscience is looking for a Program Coordinator to join their administrative team. As a valued team member, you will serve as one of the financial and HR points of contact in the department. You will be an integral part of our administrative team by providing administrative support for designated faculty and their respective labs. You will also serve as a co-coordinator for our department Seminar Series program. In addition, you will:

Coordinate the timekeeping for the department.

Serve as the financial and human resources administrator for a designated group of faculty.

Complete monthly financial reporting packages for each faculty member.

Process all hiring, promotions and terminations of lab personnel.

Work with the International Office for the hiring of foreign nationals.

Work with the department grants team as well as the university’s Sponsored Programs Administration (SPA) for all post award activities related to designated faculty group.

Co-coordinate the Neuroscience Seminar Series, which includes preparation of invited speaker travel, email notifications of speaker event, assisting with speaker set-up on event day, processing of all visit related expenses.

Enter all bi-weekly and monthly timekeeping for the department.

May assist with overflow work from other administrative team members.

Required Experience and Education

Bachelor degree in Business Administration, Health Care Administration, Education/Social Science, or related field, and at least five (5) years experience in appropriate field required. May consider additional years of experience in lieu of education.

Job Duties

Analyzes, coordinates, and evaluates program operation and procedures.

Develops or oversees development of budget for program.

Develops, cultivates, and maintains working relationships with internal/external departments/agencies and other organizations associated with and/or receiving benefit from program.

Establishes program goals and objectives and directs program evaluation and quality control activities; develops and/or approves schedules, priorities, and standards for achieving goals.

Plans and coordinates special events. Participates in conferences. Presents data and program information.

Responsible for design, execution, and effectiveness of system of internal controls, which provides reasonable assurance that operations are effective and efficient, assets are safeguarded, and financial information is reliable.

Ensures compliance with applicable laws, regulations, policies, and procedures.

Reads literature and attends functions to keep abreast of relevant scientific and technical developments related to program.

May provide supervision to staff members.

Performs other duties as assigned.
