Why does the job exist?
The Office of the Secretary Support position exists to provide a wide range of technical and administrative support to the Managing Director and the Office of the Secretary. This position should ultimately produce reliable and accurate outcomes for all tasks requested by the Managing Director and Deputy Secretary. This position is responsible for all fiscal activities including contracts, RFPs, RFRs, and other documents as requested. Additionally this position will provide back up support for the front desk and Secretary of Education.

How does it get done?
- Provide high level administrative and technical support for the Managing Director including but not limited to
Managing calendars for the Managing Director including
scheduling all meetings, setting up virtual conferences, prioritizing based on needs of the Agency
Monitoring phone calls and emails for the the Managing Director and the Deputy Secretary of School Transformation and
Innovation and responding on their behalf when appropriate
Draft documents for the Managing Director
Provide editing support for the Office of the Secretary and the Managing Director
Coordinating all travel to include routing for approval request, securing flights and hotels, collecting receipts upon return and
processing reimbursement requests
Routing documents for signature including but not limited to waivers, travel packets, letters to the field and memos
- Fiscal and contractual management to include developing and deploying contracts and management of all budgets using SHARE Financial
- Providing back up support for the front desk including
Answering and routing phone calls
¿ Responding to requests from constituents
- Providing back up support for the Office of the Secretary including
Scheduling appointments
¿ Welcoming and directing constituents.
Who are the customers?
The Managing Director, the office of the Secretary, and internal and external constituents.
Ideal Candidate
- have a minimum of 5 years of experience working in a customer service environment
- have prior experience in a fast paced office and/or customer service environment
- have knowledge of educational initiatives in New Mexico
- have prior, above basic experience with the Microsoft Office Suite
Minimum Qualification
Associates Degree in Business Administration, Public Administration or Accounting and two (2) years of directly related job experience in the areas of office administration, budgeting, purchasing, finance, accounting, auditing, cash management and/or contract management. Employment Requirements
Must possess and maintain a valid New Mexico's Driver's License.
Working Conditions
State of New Mexico employees may be impacted by the Public Health Order dated December 19, 2022, which requires facilities licensed or certified by the Centers for Medicare and Medicaid Services ("CMS"), including all hospital types, long-term care facilities, nursing homes, hospice facilities and rehabilitation facilities, as well as assisted living facilities and adult day care settings, to adhere to all COVID-related requirements prescribed by CMS, including, but not limited to masking and staff vaccination.
Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required.
