Why does the job exist?
This clerical position involves frequent interaction with the public and provision of information and resources. Many clerks are bilingual and act as translators for staff in relaying public health information, access to food, healthcare and other community resources. The improved access assures equality in the delivery of health care to rural and frontier residents with the goal of improved health outcomes and provision of safety net services to these communities.
The clerk assists in improving access to safety net services for children with chronic medical conditions in areas of the State that have limited health care services. The responsibilities include front line coverage for the Rio Arriba Public Health Office, CMS program and assistance with COVID mitigation efforts (providing information and scheduling).
The Clerk provides clerical support to local health office staff to include but not limited to: preparing correspondence, reports, payment vouchers, purchase documents, timekeeping functions, etc. This position provides direct service functions which are billable under the licensed CMS Social Workers. This position also assures medical reports are secured, billing and data entry, scheduling and attendance at CMS appointments and outreach clinics.
How does it get done?
Frequent interaction with the public and provision of information and resources related to public health program(s) information. Preference for bilingual (eng-spanish) enables the clerk to act as translators for staff in pertinent health- related information.
Facilitation of the daily operation of the office, supporting the delivery of service to clients, families and communities. Organization of files, correspondence, intake, scheduling and tracking functions.
Establishes and maintains the CMS client data entry system in an accurate and timely fashion in order to assure effective and efficient client service delivery.
Assists with coordinating pediatric specialty outreach clinic to facilitate access to care for children who would otherwise not be able to see a specialist. Direct and related client services are noted on behalf of the licensed social worker(s) and thus provide additional billable services/revenue.
Assists with care coordination revenue producing functions including the securing of medical records/reports and Medical portal
Who are the customers?
Clients ages 0-21 with chronic medical conditions (and their family members) of Rio Arriba and Los Alamos counties.
Ideal Candidate
High School graduate or GED and 1.5 years' experience in office administration or customer services. Clerical experience to include but not limited to word processing and other computer skills, working with the public; managing multiple tasks; filing; ensure office coverage; maintaining appointment calendar; answering telephone; timekeeping duties or timekeeping system. Fluency in the Spanish language is preferred.
Minimum Qualification
Eighth grade education.
Employment Requirements
All DOH/PHD required trainings (HIPAA, Defensive Driving, BBP etc.)
Working Conditions
State of New Mexico employees may be impacted by the Public Health Order dated December 19, 2022, which requires facilities licensed or certified by the Centers for Medicare and Medicaid Services ("CMS"), including all hospital types, long-term care facilities, nursing homes, hospice facilities and rehabilitation facilities, as well as assisted living facilities and adult day care settings, to adhere to all COVID-related requirements prescribed by CMS, including, but not limited to masking and staff vaccination.
Work is performed in an office setting, client homes and community settings. Some travel required. Work locations could be more than one county. Outreach to local/area in NE Region, Santa Fe, Rio Arriba, Los Alamos, San Miguel, Mora, Colfax, Taos, Union, Harding,and Guadalupe counties.
Clinic setting, constant public contact, computer usage, filing, involving stooping and reaching, may be required to lift up to 30 lbs.
