Based out of our Lake Mary, FL location, Supervisor, Records Retrieval is primarily responsible for overseeing the duties and functions of the Records Retrieval Department and ensures that they are carried out with accuracy, timeliness and confidentiality. This includes overseeing the input of system statuses; monitoring order completion and turnaround time, evaluating client’s satisfaction; supervising that records are maintained according to the legal requirements for all documents; and ensuring appropriate staffing for all functions.

This role is a full-time position with a standard work schedule Monday-Friday 8:00-5:00 p.m.

Responsibilities

Essential Functions
  • Acts as the primary resource for scheduling staff, answering questions, finding solutions to customer issues and ensuring staff is up-to-date on operational procedures and policies within the Records Retrieval Department.
  • Create programs for ongoing development of the records retrieval staff through training and coaching to ensure premier delivery of customer care.
  • Responsible for providing employees with timely, candid and constructive feedback.
  • Develop employees and provide challenging opportunities for growth; recognizes and rewards employees for accomplishments.
  • Provide assistance to the staff in completing projects and client commitments.
  • Promote good customer relations by consistently promoting exceptional customer satisfaction; developing rapport with the customer base, responding in a timely manner with correspondence to customers to resolve issues or problems.
  • Assists as second tier for Retrieval Specialists with custodian of records escalation process and uses experience and authority to resolve common custodian of records/client issues relating to product and/or service malfunction.
  • Develop and implement processes and procedures designed to improve operational efficiency and scalability.
  • Develop, track and reports key performance measurements of the team on a daily, weekly and monthly basis.
  • Train and supervise all new scheduling staff on products, policies and procedures.
  • Prepare and deliver formal written performance appraisals to direct reports in an honest and impartial manner, recommends salary increases and promotions as defined by company policy.

  • Involvement in hiring, progressive discipline and termination decisions.
  • Perform internet research as needed to locate working phone/fax number or a physical address for business entities you are required to contact.
  • Maintain daily productivity reports.

Qualifications

Educational and/or Experience Requirements
  • Paralegal certification or equivalent job experience.
  • Prior work experience in a legal services environment, or insurance claims office.
  • Familiarity with state and federal legal statutes and code, state and federal legal documents, legal terminology, and HIPAA.
  • Management of work flow processes.
Skills and Abilities
  • Good understanding of the organization’s goals and objectives.
  • Ability to absorb new ideas and concepts quickly.
  • Ability to delegate and execute tasks in a high-pressure environment.
  • Excellent telephone etiquette, written, interpersonal and organizational skills.
  • Has understanding of the internal processes of medical facilities and med-legal terminology.
  • Knowledge of supervisory/management principals
  • Possessing, confidence, experience, and skills to support not only the department but also the organization as a whole.
  • Good communicator, active listener, and posses strong decision making skills.
