The Rutland Northeast Supervisory Union is seeking a dynamic individual to join our Business Office as Administrative Assistant to Facilities and Transportation . The position is year round and will begin July 2023.

The individual will be responsible to perform, communicate and initiate varied clerical and analytical duties requiring the exercise of confidential judgment and independent work for the Transportation and Facilities Department. Work is performed independently or under the supervision of the Director of Facilities and Transportation RNESU 36.

ESSENTIAL FUNCTIONS:

  • Primary radio dispatcher for RNESU school buses, van and custodial/maintenance.
  • Responsible for monitoring morning and afternoon radio transmissions to support drivers on the road and be the communication link between parents, schools and the bus drivers.
  • School Sports /Classroom Trips – Works closely with Athletic Director/Principals to ensure trips are staffed with a driver.
  • Route Maintenance/ Logistics – Ongoing maintenance and updates drivers /routes as needed by collecting new/transfer student data.
  • Regulatory Policies – Stays current with RNESU policies and procedures.
  • Updates Transportation and Facilities binders as necessary.
  • Ensures licenses are up to date for School Bus Driver licenses and or van drivers.
  • Point person for answering the phone and checking phone messages.Screens and directs to the appropriate person.

Answer inquiries and follow through on requests effectively and in a timely manner.
Communicates with school employees, vendors, students, police/fire department and the general public.

  • Compiles and submits electronic payroll data to the payroll office weekly - overtime, hours worked, vacation and personal time.
  • Responsible for submitting vendor invoicing, reimbursements, payments, purchase orders and requisitions to the finance office for approval and payment.
  • Primary call person for sick calls, responsible to call in sub bus drivers and sub custodial staff to work for sick calls.
  • Administrative support:Creating letters, memos, reports, agendas and spreadsheets.

Prepare, research and gather information.
Maintain calendars, filing system and mail.
Arrange meetings, conferences and workshops.
Order refreshments.

  • Other duties as assigned by the Building Administrator

Requirements include:

  • High School Diploma or equivalent
  • Excellent communication skills, organizational skills and ability to complete complex tasks with attention to detail in a timely manner.
  • Experience in using various computers and computer programs, as well as various office machines and telecommunications equipment
