Major/Essential Functions

Compiles data and statistics for performance reports and prepares other reports for the Child Fellowship, CAD Division, Adult Residency and IM/Psych programs. Maintains Child Fellowship, Adult Psychiatry and IM/Psych Program and CAD records and evaluations. Ensure deadlines are met that are established by the CAD Chief, Clinical Administrator, and Program Directors. Files will be in a lock cabinet and maintained in a neat, organized fashion in order for easy access of information to authorized personnel.
Maintains Residency/fellowship program records and evaluations. Completes program reports in accordance with accreditation standards. Tracks participant progress through the program for completion of requirements. Coordinates information required for ongoing program certification. Annual evaluations must be completed according to RRC guidelines and set campus deadlines. Must maintain databases and excel spreadsheets on program participants and create reports by established deadlines.
Coordinates activities in Child Fellowship Program, Adult Residency and Internal Medicine/Psychiatry Residency program. This includes preparation and distribution of calendars, rotations, seminars, call schedules for programs. Maintains and coordinates clinical rotations for fellowship and residency. Meet all established deadlines set by CAD Division Chief, Clinical Department Administrator, and Program Directors. Rotations will be set up and complete before fellows and residents begin rotations. Will follow all policies related to Fellowship and Residency programs, departmental regulations, and guidelines.
Provides clerical support for all child and adolescent faculty, Adult Psychiatry and IM/Psych faculty. Maintains faculty calendars, answers phones, takes meeting notes, and schedules meetings. Demonstrates high level of organizational skills and is capable of multitasking complex projects. Ensures all deadlines are met. Can prioritize tasks and provide daily updates.
Coordinates acceptance of candidates into Child Fellowship, Adult Psychiatry and IM/Psych Residency to include processing applications, scheduling interviews, and handling candidate evaluations. Employee will follow all Fellowship and Residency policies and direction from Fellowship and Residency Program Directors. Packets will be completed 24 hours before candidates arrive. Evaluations will be collected within 5 working days of candidate visit.
Other duties as assigned. Complete assignments within established deadline assigned when task is given. Exemplifies TTUHSC ServicePlus characteristics and demonstrates high level of teamwork. Assures that all TTUHSC policies & procedures are followed.

Required Qualifications

High school plus six years experience in related field.
Additional education may substitute for experience on a year for year basis.

Preferred Qualifications

Working knowledge of medical and scientific terminology. Proficiency in the Spanish language.
Must be proficient with Microsoft Office software. Be able to handle various tasks simultaneously.
